AI Usage Policy
Catchline Communications (the “Company”), a sole proprietorship owned and operated by Erica Holthausen, is committed to engaging in transparent and ethical practices. This AI Usage Policy details which Artificial Intelligence systems we use and how we use those systems. While we remain committed to adopting new technologies to aid our mission when possible, and encourage our clients to do the same, we also understand the risks and limitations of various AI systems.
I. Scope
This policy applies to the use of all AI systems. For the purposes of this policy, the term “AI system” means an engineered or machine-based system or functionality that is designed, for a given set of objectives, to generate outputs such as text, images, and predictions, or to make recommendations influencing human action in real or virtual environments. This includes software products licensed by the Company for use in projects and activities and any other external AI tool we may use in the course of performing our duties.
II. Overarching Principles
We believe that AI systems can support and enhance output, but that it is not a substitute for original human thinking, advice, and consultancy. AI systems are best suited to serving as assistants for brainstorming, editing, and refining ideas, rather than as primary sources of work.
The Company acknowledges that AI systems can generate authoritative-sounding output that is incorrect, incomplete, or biased. We review and fact-check all content we produce, and are solely responsible for the quality, integrity, and accuracy of such content, regardless of whether AI systems were used in the production of that content. Where we make use of AI systems, we are transparent about such use and disclose which systems were used and for what purposes.
We acknowledge the limitations and biases inherent in the AI systems we use, including the lack of diversity in training data used and reliance on training data that perpetuates harmful stereotypes or misinformation, and we take appropriate steps to mitigate these limitations. We also acknowledge the importance of protecting the data used in AI processes and ensure that no personal or confidential data is shared with various AI systems for AI training purposes.
We recognize that AI is a rapidly evolving field. We are committed to reviewing and updating this policy as needed. To promote the ongoing responsible use of AI, the Company will stay informed about advancements in AI ethics and standards and be an active participant in discussions and debates about the use of artificial intelligence within the communities we serve.
III. AI Disclosure Statement
Our use of AI systems is limited to the following tools and purposes:
- Claude. We use Claude as a brainstorming tool that provides insights into our audience and helps us identify questions and concerns they have about which we might be able to provide guidance through an article, video, or other piece of content. We use Claude as an analysis tool that reviews polished drafts and identify gaps in our reasoning so we can address those gaps before we publish the work. We use Claude as a repurposing tool that identifies key takeaways from resource documents, including articles, transcripts, and marketing collateral developed by the Company, and drafts LinkedIn posts, carousel slides, and video scripts summarizing those key takeaways.
- Google Scholar. We use Google Scholar as a research tool to help identify reputable sources and scholarly literature.
- NotebookLM. We use NotebookLM as a research assistant to summarize articles, web pages, audio files, video files, and other resource documents, and to deepen our understanding of research relevant to a specific topic.
- LanguageTool. We use LanguageTool as a grammar, style, and spell checker to review written materials and recommend edits.
- Zoom. We use Zoom as our video conferencing system and occasionally make use of Zoom AI Companion to produce summaries, action items, transcripts, and video highlights of client meetings, programs, and presentations.
- Descript. We use Descript as a video editing tool and video transcription service to edit video, produce summaries, and create shorter video highlights from recorded presentations.
- Otter. We use Otter to transcribe audio files.
IV. Mitigating Environmental Damage
Generative AI is incredibly resource-intensive. To mitigate some of the environmental damage done by our use of generative AI, the Company makes a $10 donation to the Natural Resources Defense Council for every session with Claude.
V. Changes to the AI Usage Policy
The Company reserves the right to change this AI Usage Policy at any time. If we decide to change this AI Usage Policy, we will post these changes on this page so that you are always aware of what AI systems we use and how we use them.
